Where can I access my license keys?

From 8 October 2024, the option to manually fulfill agreements in the Customer Portal will be removed.
What happens to the manual fulfillment of agreements?
The manual fulfillment of agreements in the Customer Portal will continue to be supported until 7 October 2024. After this date, this function will be deprecated and no longer available. We understand that change can be challenging, but we’re confident that our new automatic agreement fulfillment will provide a better experience and more effectively meet your licensing needs.
Until we transition into the new feature, you can manually fulfill agreements.
If you have a valid subscription agreement with us, license keys are automatically delivered to the license owner via email. They need to be activated on each computer that has Fotoware software installed. This article explains how to access the license keys.
Note: Your existing license keys are extended when you renew your agreement.
What are the implications of automatic fulfillment?
Fulfillment is the automated process through which you receive your license keys via email, either on the start date of your agreement or upon its renewal. These valid license keys are essential for running the latest software releases.
What are the implications of doing a fulfillment?
- With the automatic fulfillment of agreements, you no longer need to request license keys manually. The system will automatically generate and email the required license keys to the license owner upon the agreement's start or renewal.
- As soon as the agreement is fulfilled, the license keys are immediately available in the email, eliminating delays. This allows you to quickly activate our software products without waiting for manual processing.
- Since valid license keys are required for running the latest versions of our software, automated fulfillment ensures that you always have access to the most recent software releases, keeping your systems up-to-date and secure.
- The software you are currently using will continue to operate. However, if it needs to be repaired or reactivated, you must activate or renew the license key with our Fotoware license command-line tool.
- The validity of your existing license keys will be automatically extended upon the renewal and fulfillment of your agreement for the next period.
- MSI deployment packages of FotoStation that use a volume key must still be updated with the new license key after fulfillment.
How to obtain your license keys
There are four steps involved in this process; each step is described below.
- Log in to the Fotoware Customer Portal
- Navigate to the agreement
- Download the software
- Activate the licenses
Log in to the Fotoware Customer Portal
Once you have read the above and understand the implications of automated fulfillment, log in to the Fotoware Customer Portal.

Navigate to the agreement
- Navigate to the Agreements page to display all agreements. For more information about agreement status, see Agreement status.
- If your agreement's fulfillment status is Accepted, this means the license keys are generated. You can also find the valid licenses in the Licenses area, which is helpful if you do not have access to your email.
- Select a license to display more information about it, including the license key required to activate the software.
What do the different fulfillment statuses mean?
You can track the status of your license keys on the agreements:
Ready: The license keys are ready to be generated by automatic fulfillment.
Pending: The license keys are being generated. This might take a few minutes.
Accepted: The license keys are generated and sent to the license holder.
Failed: The license keys could not be sent to the license holder. Contact Fotoware Support for assistance.
If you see that your agreement has the Accepted fulfillment status but you have not received an email with license keys, check the Licenses page before contacting Fotoware Support.
What do the different agreement statuses mean?
Awaiting Start: Agreement is not yet active.
Active: Agreement is active and associated license keys are valid.
Awaiting Fulfillment: Agreement is ready to be fulfilled automatically.
Expired: Agreement has expired and associated license keys are no longer valid.
Under 30 days left: Agreement is about to expire in less than 30 days.
Under 7 days left: Agreement is about to expire in less than 7 days.
Exporting license information to a CSV file
If you have several licenses, it might be practical to export them directly after fulfillment. You receive the licenses by email upon fulfillment, but you may want to store the license information in another system as well.
Select the Download all licenses as CSV link to export a comma-separated file containing all license information for download to the desktop. The table below shows the fields that are included. This can be used to keep track of which machines/users have been assigned to different license keys, for instance.

Note: If you purchase new software, remember to export the new license keys.
Download the software
Now, it's time to download your software.
Tip: If you're already running FotoStation, you can use the Auto Update feature to download and install the latest version automatically.
Activate the licenses
New licenses need to be activated, while existing licenses must be renewed.
In the case of new licenses, after you receive the license keys and downloaded the software, you need to activate the licenses on each computer with Fotoware software installed. There are many ways to activate a license. For more information, see Licensing and product activation.
Note: If you have an old version of Fotoware software installed on your computer, activate licenses before installing new versions of Fotoware.
Legacy licenses
Legacy licenses (Fotoware software earlier than version 7.0) are not shown by default. Select Show legacy licenses to expand the list and display these licenses also.
Expired licenses
By default, expired licenses are not shown. Select Show expired licenses to expand the list and display these licenses.
Performing a manual fulfillment
When you fulfill an agreement manually on the portal, you receive an email with all the licenses in the agreement and the keys to activate them.
There are 4 steps involved in this process; each step is described below.
- Log in to the Fotoware Customer Portal
- Fulfill the agreement
- Download the software
- Activate the licenses
Log in to the Fotoware Customer Portal
Log in to the Fotoware Customer Portal. If you do not have an account in the Fotoware Customer Portal, see How to create an account in Customer Portal.
You can now fulfill the agreement. The fulfillment process involves digitally signing the agreement, after which the license keys for the software covered by the agreement are sent to your email address.
- The Registration Details page opens automatically. Alternatively, select Company to open the Registration Details page.
- Any agreements that are pending fulfillment are listed at the top of the page. Alternatively, select Agreements to display all agreements (awaiting fulfillment, active, and expired).
- Select Fulfill now. Verify that the agreement lists the correct products.
- Enter your name and select Sign and complete. The license keys required to activate the software are sent to the email address registered for the license holder.
- After a few minutes, when the fulfillment status of your agreement changes to Accepted, this means the license keys are generated and you can also find the valid licenses in the Licenses area (at the top of the page). This is useful if you do not have access to your email.
- Select a license to display more information about it, including the license key required to activate the software.
