Creating an archive

To create an archive, log on to FotoWeb, open the Tools menu (cogwheel icon) and select Manage site.

The site configuration opens in a separate tab, where you can find the Archives node listing all the archives in the menu on the left hand side.

You can edit an existing archive or click on the Add archive button in the top right corner to create a new one.

Tip: If you can't see Manage site in the Tools menu or if the Archives node isn't shown when the site configuration tab opens, you need to talk to your system administrator. Your logged-in user needs to be a member of a group that has been assigned the Manage archives privilege.

Identification

General archive properties

An archive in FotoWeb is identified by its name and must be unique for each archive. It is also a good idea to give the archives intuitive names that can give the users an idea of what they can expect to find in them. The Description field can also be used for this purpose.

To make the archive easy to distinguish from other archives on the server you can add an icon to it and choose an icon color.

Enabling or disabling an archive

You can also toggle the enabled/disabled state for an archive. This controls whether an archive is available or not to users. This can be a quick and convenient way to completely disable an archive without deleting it permanently.

Choice of storage pool

An archive has to be pointed to an storage pool. The number of available pools depends on the SaaS plan.

Applying an autosearch to the archive

An autosearch filter can also be applied to the archive. The archive is filtered with this search before the results are returned to the user. Any searches performed by the user are performed within the results of the initially applied search filter.

You can create multiple archives from one single pool by simply setting different auto search filters for each archive.
