Changing access

Fotoware enforces access control on the archive level. However, by coupling the archive access list with search filters, it is possible to give different user groups access to different content based on their metadata tags.

When uploading content to showcase.fotoware.cloud, users need to choose 1) a destination archive and 2) an optional access level, as well as other optional fields.

The access level (set in Field #611 - Access) controls who can see the uploaded asset, and there are three levels with a corresponding tag: Restricted (Only members of the Fotoware Editors group), Internal (all registered users on the site), and Public (Everyone, including non-authenticated guest visitors to the site).

Important: If no access level is set during upload (leaving Field #611 - Access empty), the asset is assumed to be Restricted, limiting access to Fotoware Editors.

Changing access 

Access to assets can be changed in two ways, both of which are only available to Fotoware Editors

1) By locating the asset in the All files archive and editing its Access metadata field (#611) on the Asset Details page. Because only Fotoware Editors have access to this archive, only they can change the access setting.

2) By selecting the asset(s) in any archive and running the Set Restricted/Internal/Public Access action, which updates the Access field (#611). Only Fotoware Editors have access to use the Set Access action. (Access list enforced on the action.)

When the access is changed, the access marker updates accordingly. The screenshot below shows a Restricted image, illustrated with a blue padlock icon.
