Managing and approving orders
When users place orders through the shopping cart in Fotoware, administrators with permission to approve orders can review, approve, or reject them.
To manage orders, go to Tools (cogwheel icon) and select Manage orders. A blue indicator appears on the Tools icon when orders are pending.
You can filter orders by status:
- Open – Orders waiting for approval.
- Rejected – Orders that have been rejected.
- Approved – Orders that have been approved.

An administrative notification can also be sent using a webhook when a user places an order.
Approving or rejecting an order
- Select Open to display orders that are waiting for approval.
- Select View order for the order you want to review.
- Review the order details. For image files, you can change the selected image format from the format requested by the user. For non-image files, the original file is delivered, and this option is unavailable.
- Approve or reject the order as appropriate.
Setting an expiry date
When approving an order, you can set an expiry date for the download. After this date, the user can no longer download the order.
Adding comments
You can add a comment when approving or rejecting an order. The comment can be used to provide the user with additional information about the decision.
Unavailable assets
If an asset included in an order is no longer available when the order is processed, it cannot be included in the approved order.
Reordering assets
Users can place a new order for assets from a previous order if those assets are still available. The new order is handled in the same way as other orders and may require administrator approval.
